Partial membrane-switch deliveries: reconciling dispatch, receipt and order balances

For an order with a confirmed total, record planned, dispatched, received and inspection-released quantities separately. Preserve in-transit, pending-inspection, return and replacement records under the original order line.

For a membrane-switch order with a confirmed total quantity and partial deliveries, record each delivery's planned, dispatched, physically received and inspection-released quantities separately. Keep the order quantity not yet dispatched visible. A courier signature does not replace item-level receipt or inspection, and receiving the first delivery does not complete the whole order. Link shortages, returns and replacements to the original order line rather than editing the original dispatch quantity to erase a discrepancy.

In its October sales announcement published on November 1, 2026 (Chinese), BYD separately reported total sales of 490168 vehicles and overseas passenger-car and pickup sales of nearly 170000. This is recent context, not an event on November 3. The announcement identifies no membrane-switch orders, partial-delivery arrangements or Baoshengda supply relationship. Its separate totals and geographical scope provide a clear example of quantities being reported for different scopes.

If your own equipment OEM separately procures membrane switches and divides a confirmed-total order across delivery dates or receiving locations, purchasing needs to know which delivery is in transit, which has arrived but awaits inspection, and which quantity has not yet been dispatched. The following method is for quantity-record discussions. It does not describe BYD's actual logistics or address payment, transfer of risk or the legal effect of contracts.

Link each delivery to the original order line

First establish the order number, line, part number, drawing revision and confirmed line quantity. Give each dispatch a traceable delivery or dispatch record. State its planned quantity, receiving location and contact, and currently agreed milestone. When a milestone changes, retain the original arrangement and the new confirmation rather than creating an apparently unrelated demand record.

Baoshengda's membrane-switch customization information (Chinese) calls for checking order quantity, partial-delivery plans, packaging, delivery location and receiving requirements before ordering. This supports confirming each order's conditions; it does not establish a standard partial-delivery form, live stock or a fixed replacement turnaround. Identify graphic overlays, keypad overlays and membrane switches with circuitry as different purchased items. For a dome overlay used with the customer's PCB, also list the supply boundaries for that PCB and the readout circuit.

Do not substitute one delivery quantity for another

The table suggests reconciliation fields, not a universal logistics standard or an established Baoshengda form. Use the units agreed in the order and state the record time. If a signature only confirms receipt of shipping packages, record that package count separately rather than entering it as the number of products physically received.

FieldEvidence and object recordedWhat it does not establish
Planned quantity for this deliveryConfirmed partial-delivery arrangement under the original order line, with destination and milestoneIt does not establish completed production, inspection approval or dispatch
Actual quantity dispatchedPacking list, dispatch record and transport information linked to the part revision and packaging unitsIt does not establish receipt by the customer or automatically equal the planned quantity
Actual quantity physically receivedProducts counted by the receiver as agreed, retaining original packaging and shortage or damage recordsIt does not replace inspection release; keep the quantity unconfirmed until counted rather than copying the plan
Quantity released after inspectionAcceptable quantity and conclusions under the project's inspection rules, with pending, quarantined or returned quantities listed separatelyIt does not make uninspected products or later deliveries acceptable

Baoshengda's batch and revision traceability guide (Chinese) calls for correspondence between orders, drawings, BOMs, approved samples, inspection records, material batches and finished-product identification, with the affected scope and disposition retained for deviations. For partial deliveries, link dispatch, receipt and inspection records to the same order line and actual batch. A single screenshot marked “shipped” does not replace those relationships.

Separate discrepancies before the next dispatch

The order total less the cumulative quantity dispatched gives a quantity “not yet dispatched for the first time,” not the “acceptable-product quantity still owed.” Goods may still be in transit, received but awaiting inspection, returned pending disposition or approved for replacement. First state which balance is being reconciled, then calculate it using the agreed definitions. Where original quantities are missing, retain an unknown rather than entering zero.

  • Dispatched and received quantities differ: link the original dispatch record and retain the count time, packaging units, both parties' quantities and the difference. Do not immediately assign responsibility to short packing, transport loss or a receiving error.
  • Received goods await inspection or are quarantined: preserve the physically received quantity and its status. Update the release record after the inspection conclusion; do not bypass inspection merely to close a delivery.
  • A return or replacement is needed: record the return, replacement basis, quantity and new transport information separately under the original order line. Identify the discrepancy covered by the replacement so it is not treated as new demand or deducted again from the original unshipped balance.
  • Remaining deliveries change destination, quantity or date: retain the confirmed arrangement and unresolved items. Check whether the original packaging, documents and receiving requirements still apply; do not cancel the original order balance without authorization.

For establishing the ordered total before partial delivery, see planned demand versus confirmed order quantity (Chinese). For the documents accompanying each batch, see inspection reports and batch records (Chinese). This article concerns quantity states during execution of an already confirmed order, not quotation tiers or report formats.

To discuss partial delivery for a membrane-switch project with Shenzhen Baoshengda Technology Co., Ltd., use the project contact page to provide the original order line, current revision, delivery plan and available dispatch and receipt records. Identify missing receipts and unresolved discrepancies. The cover is an existing site photograph showing labeled cartons. It cannot establish their contents, part numbers, quantities, customer, inspection status or dispatch of this order.
