Customer-supplied keypad parts: PCB, housing and surplus handoff

Supplying a PCB, housing or connector does not settle inspection, consumption or return terms. Separate received material, authorized use, delivered assemblies and surplus in the keypad quotation and handoff records.

Two black samples with blue key legends, white leads and black connectors on a white background; appearance only, not proof of supplied-part provenance, communication protocol or assembly acceptance

When a customer supplies PCBs, housings or connectors for a keypad assembly project, the quotation should identify those physical parts separately from the supplier's deliverables: who checks the incoming items, which parts may be used or consumed in trials, how shortages and damage are recorded, and when surplus items are returned. Quantity shipped is not the same as quantity accepted or the final number of assemblies. Agree the work, charges and disposition for the project; “customer-supplied parts” does not imply free inspection, unlimited losses or an included complete-assembly service.

Okuma's official JIMTOF 2026 event page lists the exhibition dates as October 26–31, 2026, and describes automation for high-mix, low-volume production. This article uses that recent exhibition setting. The page does not give a separate announcement date, so it must not be described as newly published today. Its display information does not establish the machines' internal key construction or a supply relationship with Baoshengda.

If your own equipment project also spans several models in small batches, and purchasing sends existing boards and housings to a keypad supplier for fitting work, identify the model and purpose of each package before shipment: reference only, or available for incorporation in a deliverable? The following discussion concerns material handoff and quotation records for your own keypad project, not the reported company's actual purchasing process.

Separate supplied parts from the purchase deliverable

List the PCBs, housings, supports or connectors provided by the customer, with each part number, revision, quantity and purpose. List parts purchased or manufactured by the supplier separately. An overlay, membrane switch, wiring harness and complete assembly are different deliverables. A photograph of an assembly does not add unagreed parts or work to a quotation.

A customer sending one PCB for dimensional comparison has not thereby made it available for shipment in a finished product. Before machining, soldering, disassembly or any other operation that could change the item, confirm what is permitted, who performs it and what is checked; then decide how much to send. Keep unconfirmed consumption, spare-material and replenishment arrangements pending rather than inventing a standard industry loss percentage.

Section 14 of BSH Australia's Conditions of Purchase addresses provided materials, equipment and data separately and expressly addresses the return of surplus or scrap material. It illustrates how purpose and return can be addressed separately in an actual purchasing document. These are that entity's specific terms, not universal keypad-industry rules. This article does not apply its ownership, compensation or insurance provisions to your project or determine a particular contract's validity.

Keep dispatch quantities distinct from receipt records

The dispatch list should identify packaging units, part numbers and revisions, quantities, visible condition, purpose and accompanying documents. Where a revision cannot be identified visually, use traceable identification or a corresponding record rather than guessing a board number from a photograph. In a high-mix, low-volume project, make the supplied parts for each model identifiable instead of recording only “one box of accessories.”

At receipt, check packaging, quantities and visible condition to the agreed scope, recording shortages, damage or unidentified items. Any additional electrical, dimensional or functional inspection, its method and its charges belong in separate quotation items. Signing for a parcel does not establish that all supplied parts have passed inspection. Do not mark unchecked characteristics as passed; identify unclear material as pending before using it in trials or production.

Account for the destination of each material state

The table below suggests a material-reconciliation record, not an accounting standard or universal fee schedule. It connects receipt, authorized use and return for the high-mix, low-volume project discussed above. Use consistent state definitions, units and recording methods within the project.

Material stateWhat the record should answerConnection to the quotation or disposition
Received and available for usePart number/revision, actual quantity received and scope of the agreed checksIdentify the usable supplied material; a dispatch list does not replace receipt confirmation
Incorporated into deliverables or consumed with approvalWhich assemblies, samples or checks used the parts, with quantities and corresponding recordsSeparate delivered assemblies from trial/inspection consumption and compare charges with the scope agreed beforehand
Unused, awaiting return or retained in storageActual remaining quantity, storage location, condition and return list or continued-storage arrangementsMaterial remaining at the supplier is not automatically consumed; agree return packing, freight and timing separately
Damaged, short or awaiting dispositionWhere the issue occurred or was found, quantity, condition evidence and causes still unknownRetain the exception and disposition confirmation; a quantity difference is not automatically chargeable loss or permission to scrap

A reconciliation should explain where the received material went and correspond to returns and remaining stock. Keep unexplained differences visible instead of filling them with estimates. Do not count the same item both inside a delivered assembly and as consumed material. Cost allocation, replenishment, rework and scrap decisions must refer to the agreed conditions; quantity records alone do not establish responsibility.

For example, if a customer's PCB remains at the supplier after trial assembly, identify whether it is a mating part retained with an approved sample, reusable surplus or an item awaiting disposition. Then confirm return or continued storage. Delivery of the assemblies does not establish that this board has been purchased, consumed or approved for disposal. This is a hypothetical purchasing situation, not a customer case.

What supplied-part information does a Baoshengda quotation need?

Shenzhen Baoshengda Technology Co., Ltd.'s Chinese integrated-keypad information distinguishes customer-owned or customer-specified parts. Its quotation guidance calls for confirming who purchases and inspects parts and how consumption and spare material are handled, then costing parts, tooling, assembly, functional testing and packaging separately. This is the current public project-discussion scope, not a promise to inspect any supplied item free of charge, procure it, assemble it or store it indefinitely. The English product page provides localized information.

When using the project contact page, provide separate lists of what the customer will supply and why, what the supplier is expected to deliver, and which inspection or disposition conditions are missing. A standalone graphic overlay or keypad overlay does not include switch circuitry. For an overlay with metal domes that mates with a customer's PCB, list that PCB and its reading circuit separately. The cover only shows samples with key legends, white leads and black connectors; it does not establish a communication protocol, material provenance or validation of this project's assembly.

For responsibility for approving the assembled combination, see joint sample approval for metal-dome overlays and customer PCBs (Chinese). For overall cost comparison, see membrane-switch quotation scope (Chinese). Approval that a combination is usable and reconciliation of how supplied items were used or returned are different records.
